We want to make sure that your participation as an ProSweets Cologne exhibitor is stress free. In addition we want to and make it easier for you to prepare for the trade fair. The following check list will provide you with an overview of all the things that you should consider and it includes important deadlines. This way, you will have all the important dates at a glance.

    Starting about September 2024 stand confirmations are sent out. The participation contract takes effect with stand confirmation. The stand area confirmation includes dimensioned stand sketches and site maps as attachments.

  • Invoice

    Mailing of participation invoice

    You will receive the invoice for the participation fee including stand area rental, along with your free work and exhibitor passes, starting around November 2024. Invoice amounts are payable immediately upon receipt of the invoice.

    Application of co-exhibitors

    Deadline for the registration of co-exhibitors*. Co-exhibitors can be registered via the online application tool on ProSweets Cologne website.

    *Co-exhibitors are companies that are represented at the trade fair with their own products and their own personnel but use the stand area of a main exhibitor. Companies within a corporate group and subsidiaries count as co-exhibitors.

  • Advertising materials

    Editorial and advertising deadline for the Marketing Package

    All main exhibitors, co-exhibitors and all additionally represented companies are obliged to order the Marketing Package, which includes an entry in the printed catalogue. A fee is charged for this service. Please make a note of the deadline for providing editorial and advertising content.

    Submission of special stand structures/machines.

    Stand construction approval is now only granted by means of a digitally managed questionnaire via the Delegatis platform. An individual access link to the question catalogue will be sent to each exhibitor by Koelnmesse sent to each exhibitor. The necessary documents for stand approval must be submitted at least 6 weeks before the event.

    Trucks will be permitted to enter from 6:00 p.m. The stand may not be partially or completely cleared, nor may exhibits be packed away, before 4:00 p.m. on 05.02.2025. Koelnmesse has the right to impose a contract penalty of up to 5,000.00 euros for each time that an exhibitor violates this regulation. Koelnmesse may in addition/as an alternative bar the exhibitor in question from participating in the following event.

    Mailing final invoice for services

    Koelnmesse GmbH is entitled to collect an adequate down payment for the services provided at an event – e.g. electricity and water supplies, media services etc. The amount of the down payment for services is based on the services invoiced at the previous event. For exhibitors that did not take part in the previous event, the down payment amounts to 30.00 EUR / sqm. Following the event, a separate invoice will be drawn up for the services provided; the down payment will be credited to this amount. Invoice amounts are payable immediately upon receipt. If the down payment exceeds the amount charged for services provided, the excess amount will be paid back to the exhibitor. Exhibitors are not entitled to have interest paid on their down payment.
